Custom pipelines
Name the stages a lead moves through in each project's own words, without changing how reports count.
Every project starts with the standard pipeline: New, Contacted, Qualified, Quoted, Won and Lost. Most clients don't talk that way. A gym says "Trial booked" and "Member", a law firm says "Consultation" and "Instructed". A custom pipeline lets each project use its own words.
How it works
Each stage counts as one of the six standard statuses. A gym might set up:
- Enquiry, counting as New
- Trial booked and Trial attended, both counting as Qualified
- Member, counting as Won
- Didn't join, counting as Lost
The Lead Manager, the lead drawer, exports and webhooks show the stage. Reports, the dashboard funnel and conversion rates keep counting the status, so figures stay comparable across every project in the agency. Moving a lead to a stage sets its status; changing the status moves it to the first stage for that status.
Setting it up
Go to Settings, Projects, find the project and choose Pipeline. You need permission to manage the project.
- Rename a stage with the pencil. Every lead on it shows the new name straight away.
- Add a stage with a name and the status it counts as. A project can have up to 20 active stages.
- Reorder stages within a status with the arrows. New leads land on the first stage for their status.
- Archive a stage you no longer use. Leads already on it keep it, marked as archived, and you can restore it later. Every status needs at least one active stage, so the last one can't be archived.
A stage's status can't be changed after it is created, because that would quietly move past leads between report figures. Archive it and add a new one instead.
The pipeline view
On the Lead Manager, switch from Table to Pipeline to see one column per stage, with the number of leads, the total quoted and the total sold. It uses the same filters as the table. Choose Show all under a column to open the table on just those leads. Trackfully remembers which view you last used.
