Project templates

Start a project with lead fields, rules and pipeline stages already set up, from a built-in template or one you saved yourself.

Setting up a project takes the same steps each time: lead fields, qualification rules and pipeline stages. A template does those steps for you, the same way each time. Use a built-in industry template, build your own in the template editor, or save one from a project you've already set up.

Building a template in the editor

Go to Settings, Templates and choose New template. To start from a built-in template instead, choose Copy and edit next to it.

  • Details: a name and, optionally, a line on what kind of client it suits.
  • Lead fields: add a field, choose dropdown or text, and list a dropdown's options one per line. Reorder fields with the arrows.
  • Qualification rules: add rules the same way as in a project's Rules page. A template rule can't assign someone, because it may be used for any client. Untick Active to keep a rule paused in new projects.
  • Pipeline stages: tick Use a custom pipeline to start from the standard six stages, then rename, add, reorder or remove them. Every status needs at least one stage. Leave it unticked to keep the standard stages.

Choose Create template to save. To change a template later, choose Edit next to it in Settings, Templates, then Save changes. Templates are checked with the same rules as project setup, so a template that saves will always apply.

Saving a project as a template

  1. Set up a project the way you like it: its lead fields, rules and pipeline.
  2. Go to Settings, Projects, find the project and choose Save as template.
  3. Give the template a name, such as "Gyms" or "Dental clinics".

The template keeps:

  • the project's lead fields, in order, with their options (archived fields are left out);
  • its qualification rules, in order, including which are paused. A rule's "assign to" action is left out, because it names a person who might not work on the new project. A rule that only assigns someone is left out entirely;
  • its pipeline stages, if you've customised them (archived stages are left out).

Leads, views and reports are never copied.

To see, edit or delete your templates, go to Settings, Templates. An account can have up to 50. Only people who manage every project can make and use custom templates. Someone who manages a single client doesn't see them.

Built-in templates

Built-in templates can't be changed, but Copy and edit turns one into your own template.

  • Blank adds nothing. It's the default.
  • Gym & fitness:
    • lead fields: Membership interest (Monthly, Annual, Class pass, Personal training), Trial booked (Yes, No) and Goal (text);
    • pipeline: New, Contacted, Trial booked, Trial attended, Joined and Lost;
    • rules: "Asked about price" and "Asked about cost", which mark a lead whose message mentions either as pending quotable.
  • Martial arts:
    • lead fields: Class (Kids, Adults), Trial booked (Yes, No), Membership type (Monthly, Annual, Pay as you go) and Discipline (text);
    • the same pipeline and rules as Gym & fitness.

Using a template

When you add a project in Settings, Projects, pick a template next to its name. Your own templates are listed first, then the built-in ones.

You can also apply a template later. Choose Apply a template on a project that has no lead fields, rules or custom stages yet. Once a project has any of those, the option is gone, because templates don't merge into existing setup.

Everything a template adds is an ordinary part of the project. Rename, change or delete any of it afterwards, as if you had set it up yourself. Leads already in the project move to the stage for their status.

Changing or deleting a template never changes projects made from it.

If your plan doesn't cover part of a template, that part is left out and the confirmation tells you why. For example, rules are left out when the template has more active rules than your plan runs per project. Everything else is still added.
